Volunteer Roles at BWC

Volunteers play an important part in helping our teams stay organized, connected, and supported throughout the season. While coaches and staff lead the on-ice development and overall program structure, there are several ways parents can contribute behind the scenes to help create a smooth and positive experience for every player.

Below are the key volunteer roles available within our teams. Each position supports a different part of the team environment, and families are encouraged to choose a role that fits their interests and availability.

Team Managers are the communication and coordination hub for each team. They help keep players, coaches, and families organized while ensuring schedules, events, and administrative tasks run smoothly. Although the role is central, you’re never on your own—support is always available from other team managers, your division liaison, and BWC staff.

The key to enjoying the role is knowing where to find information and feeling confident asking questions when needed. While many tasks can be delegated, the Team Manager oversees them to ensure nothing falls through the cracks.

Key Responsibilities:

  • Communication: Share schedules, updates, and key information with families.

  • Organization: Work with the Head Coach to arrange exhibition games, tournaments, and team events.

  • TeamSnap: Use TeamSnap to coordinate and communicate all team activities.

  • Equipment & Supplies: Gather any necessary items for practices, games, or events.

  • Budgeting: Create the team budget or work with a team treasurer to manage finances.

  • Officials: Secure referees for home games (or coordinate with a Referee Scheduler) and ensure payment is arranged.

  • Game Coordination: Communicate with opposing team managers and handle schedule adjustments.

  • Volunteers: Assign roles such as timekeeping, scorekeeping, or HiSports data entry.

  • Rule Familiarity: Review PCAHA rules—especially sections on suspensions—to help answer common questions.

With preparation, support, and clear communication, Team Managers help create a smooth, positive season for players, coaches, and families.

The Treasurer works closely with the Team Manager, coaches, and families to create and manage the team’s season budget, including costs for tournaments, team events, and any planned fundraising. They collect team fees, track expenses, and help determine whether additional fundraising is needed, ensuring the team’s finances stay organized and transparent throughout the season.

  • Ensures that the first aid kit is at all practices and games. Also ensures maintenance of the first aid kit.
  • Ensures that incident forms are filled out and sent to administration if an injury occurs.
  • Manages injuries and refers players to qualified professionals.
  • Ensure that Return to Play Protocol is followed for all injured players.
  • In conjunction with team coaches, conducts regular checks of players’ equipment.
  • Requires the completion of the online HCSP course. Complete any certification deficiencies by December 1.

BWC requires dressing rooms to be monitored at all times by a minimum of two adults. The Head Coach, supported by team staff, ensures this rule is followed, with assistance from designated parent volunteers. When players under 19 are in the dressing room before, during, or after a game or practice, two adults must be present inside or immediately outside with the door ajar. Players should never be left unattended at any time.

The Team Manager assigns parents to help with timekeeping during home games and scorekeeping during away games. These roles support smooth game operations and ensure accurate records for each match.

The Team Communications Coordinator captures photos and videos from team events and uploads them to the team’s OneDrive folder. They also share notable stories, moments, or achievements with BWC staff for possible inclusion on the website, social media, or in Ice Chips, helping highlight the team’s season.

MEETINGS

Unless otherwise arranged, the Meeting is mandatory, usually in late September/early October. The meeting will provide a brief introduction to the season and an introduction to a few key support people. These will typically be done by division.

If you’re managing a team from U7 and above, attendance at the PCAHA Coaches and Team Managers Meeting is mandatory. Please check the PCAHA website for the specific dates and times for your division.

This meeting provides an opportunity to meet PCAHA personnel, ask any questions, and receive updates on policies that may impact the upcoming season. Be sure to bring your team list (either an Excel file or the Hockey Canada team roster if available), as you’ll be informed of any important changes in PCAHA regulations.

The first round of games typically runs until the Christmas break. Afterward, a new schedule will be issued in late December or early January to cover the remainder of the season.

Your Team Meeting at Burnaby Winter Club

Once your team has been formed, and ideally before your first game, it is essential to hold a team meeting with the parents. This meeting provides the coach an opportunity to share their team philosophy and expectations for both players and parents. Below are key items to cover during this important meeting:

  • Team Budget: Present the budget for the season, including costs for tournaments, extra ice time, team development, apparel, social activities, fundraisers, and any other events. Ensure that parents sign off on the budget and submit it to Rob Windsor, rob.windsor@bwchockey.com.
  • Financial Commitment: Discuss the expected financial commitment from parents and any fundraising opportunities that the team would like to undertake.
  • Schedule Overview: Provide an overview of the team’s practice and home game times, as well as potential times and locations for away games.
  • Coaching Expectations: Review and discuss the expectations from the coaching staff, and provide an opportunity for parents to give feedback or input.
  • Volunteering: Present a list of team volunteer positions that need to be filled and have parents sign up for these roles. As part of BWC’s, each parent is expected to volunteer within the team and also contribute to activities outside the team.
  • Mandatory Forms: Remind parents to complete all mandatory online forms that were sent out by the association, including the Code of Conduct, image use waiver.
